AI receptionist that integrates with your booking system

A good AI receptionist isn't just a phone system — it's a booking system. It reads your calendar, sees what's open, and books appointments directly into your existing software. Here's what to look for, which platforms actually have a live plug-and-play connector today versus a custom-built one, and how to verify an AI receptionist actually integrates with your booking system before you commit.

Short answer: RAMELO's Ava works with your existing booking calendar. Cal.com is her live, verified integration today — she reads real availability and books directly into it on every call. For the other platforms most med-spas use (Acuity Scheduling, Boulevard, Vagaro, Mindbody, Square Appointments, Jane App, GlossGenius, Zenoti), RAMELO builds a custom integration rather than offering a plug-and-play connector yet — email hello@ramelo.ai before you commit to confirm the path and timeline for your platform.

Why booking system integration matters

Without integration, an AI receptionist can take a message — "I'll have someone call you back." With integration, it can book a real appointment — "You're confirmed for Tuesday at 2 PM; look for a confirmation email."

Integration means the AI can:

Without this, the AI is a smart voicemail. With it, the AI is a revenue-generating tool.

Live integration vs. custom integration: RAMELO's Ava

RAMELO is honest about the difference between "we've built and verified this" and "we can build this for you." Here's where each platform stands today:

Not sure if your booking system is on this list, or want to confirm a custom-integration timeline? Email hello@ramelo.ai with your platform name. RAMELO will confirm what's live vs. what needs to be built, and the timeline, before you commit.

What "no setup fee" means, live vs. custom integration

If your med spa is already using Cal.com, you pay RAMELO's standard monthly subscription — $349 (Core), $699 (Pro), or $1,399 (Max) — with no additional setup fee. For Acuity, Boulevard, Vagaro, Mindbody, Square, Jane App, GlossGenius, or Zenoti, RAMELO builds a custom integration; scope, any setup cost, and timeline are confirmed with you during a consultation call before you commit — ask before you commit.

How to verify an AI receptionist actually integrates before you buy

Before you commit to any AI receptionist vendor, ask:

  1. "Which booking systems do you officially support?" Ask for a specific list, not "most platforms" or "we're working on it."
  2. "Can you show me a real calendar integration working live?" Ask to see the AI actually read your calendar availability and book an appointment into your system on a demo call. Not a video — a live demo call where you hear and see it happen.
  3. "Is there a setup fee if I'm already on [your platform]?" Get this in writing. Some vendors claim "no setup fee" but charge later.
  4. "How long does integration take to go live?" Most reputable vendors: same day or next business day.

Common questions

Can RAMELO's Ava work with my booking system if it's not on the integration list?

Possibly, but it depends on your platform's API and data structure. Email hello@ramelo.ai with your platform name and RAMELO will confirm whether a custom integration is available or planned. Don't assume it's not possible — confirm directly.

If I switch booking systems, do I have to pay a new setup fee to integrate Ava?

If you switch to Cal.com, RAMELO's live integration, there's no setup fee. If you switch to a platform that needs a custom integration, contact RAMELO's support team — they'll confirm scope and whether a fee applies before any work begins.

Does Ava sync with my existing client data in my booking system?

Ava checks your booking system for available appointment slots and creates new bookings — that is what the integration does. Full two-way client-record sync (reading appointment history, recognizing returning clients by name) is on the roadmap but is not a confirmed live feature today. If client-record sync is important to your workflow, ask on the demo call and the team will clarify what is currently available for your specific booking system.

What if my booking system goes down?

RAMELO monitors integrations and alerts you if there's an issue. In the rare case of a platform outage, Ava can take a message and have someone call back, or route calls to a live team member if one is set up. The goal is always live booking, but RAMELO builds fallback handling into every integration.
